This Privacy Policy explains how PT. Shelter Indonesia Gemilang ("Company", "We", "Us") collects, uses, stores, and protects personal information when you use the Shelter+ mobile application ("Service").

Shelter+ is a unified reporting platform that integrates data from multiple internal operational applications — including HRIS, SHELIA, ShelterGuard, SellGo, and Casual/KerjaHariIni — into a single dashboard. Shelter+ itself does not independently operate these systems; it aggregates and displays reporting data sourced from each respective application for management and monitoring purposes.

By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation and Definitions

Definitions

Application refers to Shelter+, a unified reporting platform that consolidates data from multiple internal operational applications for monitoring and management purposes.
Company refers to PT. Shelter Indonesia Gemilang.
Personal Data means any information relating to an identifiable individual.
Face Data means facial images and derived facial features used for identity verification.
Service refers to all modules within the Shelter+ platform, including Dashboard Home, HRIS, SHELIA, ShelterGuard, SellGo, Casual/KerjaHariIni, Feedback, and Profile.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

We may collect personal information such as name, employee ID, job title, attendance records, payroll data, and device information necessary to operate the Service.

Information Collected While Using the Application

With your explicit consent, the application may collect:

Device location — to validate attendance location, sales visit verification, and security patrol routes
Camera access — for face recognition during attendance, field documentation, and profile photo
Push notifications — to deliver task assignments, complaint updates, and attendance reminders
Device storage — to upload documentation photos and profile images

You may disable these permissions at any time through your device settings; however, certain features may not function properly.

Use of Personal Data

To provide and operate the attendance, security, and operational management system
To verify user identity during check-in and check-out
To manage employee contracts, payroll, training records, and BPJS benefits (HRIS module)
To monitor cleaning tasks, inventory, and reliever assignments (SHELIA module)
To support security patrol, visitor logs, and perimeter detection (ShelterGuard module)
To track sales performance, store visits, and transactions (SellGo module)
To manage daily/casual workforce scheduling and attendance (Casual/KerjaHariIni module)
To receive and resolve complaints and feedback from users
To prevent attendance fraud and misuse
To comply with legal and employment obligations

Data Sharing

We do not sell, rent, trade, or share personal data with advertisers, analytics providers, or marketing platforms.

Data may only be shared with:

Internal departments with legitimate business need
Infrastructure providers who have signed confidentiality agreements
Government authorities when required by law
BPJS and social benefit institutions for employee enrollment purposes

Data Retention

Personal Data is retained only for as long as necessary to fulfill attendance, operational, and legal requirements. CCTV recordings are overwritten automatically after 90 days. Employment and payroll records are retained for up to 10 years in accordance with labor regulations.

Privacy Policy Addendum: Face Data

1. What face data does the app collect?

The application collects facial images captured during attendance check-in and check-out, and generates a facial embedding for identity matching and liveness detection. We do not collect or store biometric identifiers such as retina scans or fingerprints.

2. How is face data used?

Face data is used exclusively to verify the identity of the user during attendance and to prevent impersonation or fraudulent attendance. It is also used for security area monitoring via CCTV integrated with the HRIS and ShelterGuard modules.

3. Is face data shared with third parties?

No. Face data is never shared with third parties and is not used for advertising, analytics, profiling, or marketing purposes.

4. Where is face data stored?

Face data is encrypted and stored on secure private servers operated by the Company and located in Indonesia.

5. How long is face data retained?

Face data is retained only while the user remains an active employee. Upon account deletion or termination of employment, all face data is permanently deleted within 30 days.

Account Deletion

You may request deletion of your account and personal data at any time. To submit a request:

By email — send a request to shelter.mailer@gmail.com with the subject: "Account Deletion Request – [Full Name] – [Employee ID]"
Via administrator — contact your system administrator

Account deletion is permanent and cannot be undone. Employment records required by law will be retained separately and will no longer be accessible to the deleted account.

Children's Privacy

The Service is intended for use by individuals aged 18 and above. It is not intended for children under the age of 13, and we do not knowingly collect data from children. If you believe a child's data has been collected, please contact us immediately at shelter.mailer@gmail.com.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page and notified through the application.
